Once you've created your email template (including the waiver content and signature), the next step is to update the relevant automation in the CRM so that it sends the email to both the client and your salon.
This article outlines how to adjust the automation that sends a copy of the signed grooming policies and procedures.
Step 1: Open the Correct Automation
In the Automations section of the CRM, locate the automation used for sending the grooming policy and procedure.
Click to open the automation and load the workflow.
Step 2: Update the Trigger
Ensure the automation only triggers from the correct form:
Click on the Trigger step at the top of the workflow.
Under Form Submitted, ensure only the Grooming Policy and Procedure form is selected.
Remove any other forms if present.
Click Save Trigger.
Step 3: Update the Email Action (No Email Address Scenario)
If the client's contact record does not contain an email address, the automation should still notify the salon:
Locate the Internal Notification email step under the “no email address” branch.
Rename the action to something clear such as:
Copy of Grooming Policy and Procedure
Update the subject line to:
Copy of Grooming Policies and Procedures
Under Email Template, select the correct template that includes the signed waiver.
Click Save.
Next, update the internal note:
Click on the Add Note step in this branch.
Edit the note to say:
Signed copy of Grooming Policies and Procedures received on {{date}}.
Save the action.
Step 4: Update the Email Action (With Email Address)
If the client's contact does have an email address, the automation should send the email to both the client and the salon:
Locate the Email action under the “has email” branch.
Rename the action to:
Copy of Grooming Policy and Procedure
Update the subject line and select the correct email template.
Ensure the recipient includes both:
The client’s email address
Your salon’s email address
Save the action.
Then update the internal note:
Copy the note action from the other branch, or create a new one.
Paste the same message:
Signed copy of Grooming Policies and Procedures received on {{date}}.
Save the action.
Step 5: Remove Old Steps
To tidy up the automation:
Delete any outdated email or note actions that are no longer needed.
Double-check both branches to confirm everything is updated correctly.
Done!
This updated workflow ensures both the client and the salon receive a copy of the signed waiver as soon as the form is submitted.
