The Calendars tab in FurFlow allows you to manage your grooming team's schedule, customise services, automate bookings, and tailor client intake and notifications. Here's a breakdown of how to get the most out of it.


Calendar Views

FurFlow offers three main ways to view your team’s bookings:

  • Day View: See appointments for one calendar (team member) at a time, in a vertical list.

  • Week View: Displays multiple team members side by side in columns—ideal for managing group schedules.

  • Month View: Gives a full-month snapshot of bookings (less detailed, more overview).

You can filter calendars by location and colour-code each team member’s calendar for clarity.


Creating a Calendar

To set up a calendar for a groomer or team member:

  1. Click the + Calendar button.

  2. Add a calendar name and assign a team member.

  3. Choose a colour for the calendar.

  4. Select which location(s) this calendar will be linked to.

  5. (Optional) Link it to a Service, which ties in the availability, booking flow, and client intake.

Tip: Each groomer should have their own calendar, even if they’re mobile or part-time. This ensures accurate availability and booking control.




Service Settings

Each calendar can be linked to a Service, which acts like a booking template. Here’s what you can customise under the service setup:

Basic Info

  • Service Name: e.g., “Mobile Dog Grooming – Full Clip”

  • Description: Shown to clients when booking online.

  • Price Settings: Fixed or variable pricing options.

Availability

  • Set general availability for the service (days and times).

  • If availability differs by team member, override it in the individual calendar settings.



Buffer & Padding Time

  • Add time before or after appointments for cleaning, travel, etc.


Booking Settings

Customise how your clients interact with your booking system:

  • Booking Approval: Choose between auto-confirm or manual approval.

  • Maximum Appointments Per Day: Great for managing workload.

  • Minimum Notice Time: Set how far in advance clients can book.

  • Cancellation Policy: Define your rules and cancellation timeframes.


Intake Form

Each service can include a customised intake form to collect client and pet details before the appointment. You can:

  • Add required fields (e.g., pet breed, behaviour info).

  • Choose which fields are optional or mandatory.

  • Link to existing contact fields for streamlined data collection.


Payment Options

FurFlow supports flexible payment options:

  • Pay Later: Clients book now and pay in person.

  • Deposit Required: Take a fixed amount or percentage upfront.

  • Full Payment: Collect full payment at the time of booking.

Notifications

Set up automated messages for:

  • Appointment Confirmations

  • Reminders (SMS or Email)

  • Follow-up Messages

  • Cancellation Alerts

You can customise the wording and timing of each notification.


Custom Branding & Appearance

Tailor the look of your online booking page:

  • Add your logo.

  • Choose brand colours.

  • Set a welcome message or description.

  • Add a banner image to match your vibe.


Managing Existing Calendars

To edit a calendar:

  1. Click the three dots (•••) on the calendar name.

  2. Select Edit Calendar.

  3. Make your changes, then Save.

You can also duplicate calendars or temporarily disable them if needed.


FAQs

Can I create services for specific team members only?
 Yes. When creating or editing a service, choose which team members (calendars) can be booked for it.

Can I offer different availability for different locations?
 Yes. You can set location-specific availability per calendar.

Can clients choose who they book with?
 If multiple calendars are linked to the same service, the client can select their preferred team member—unless you turn that option off.
